Purchasing Asst. Manager

Executive Recruitment Company Monroe Consulting Group Philippines is recruiting on behalf of a leading Philippine environmental services company specializing in Integrated Pest Management (IPM), Professional Cleaning, and Environmental Solutions. Our client is currently seeking a Purchasing Assistant Manager to join their team in Quezon City under an onsite work arrangement. This opportunity is ideal for procurement professionals with at least five (5) years of experience in purchasing or supply chain operations, preferably from the service, facilities management, pest control, cleaning services, construction, or FMCG industries.

Job Summary:


The Purchasing Assistant Manager will be responsible for overseeing the sourcing, procurement, and timely delivery of materials, chemicals, equipment, tools, uniforms, office supplies, and operational services required by the business. The role ensures procurement activities are efficient, cost-effective, compliant with company policies, and aligned with operational requirements while fostering strong relationships with accredited suppliers.

Key Responsibilities


Procurement Operations

  • Process purchase requests from various departments in accordance with company procurement policies.
  • Source qualified suppliers and secure competitive quotations.
  • Evaluate supplier proposals based on pricing, quality, delivery timelines, and overall service.
  • Prepare Purchase Orders (POs) and ensure all required approvals are secured before issuance.
  • Monitor purchase orders from issuance through delivery completion.
  • Coordinate with suppliers regarding delivery schedules, order revisions, and procurement concerns.
  • Ensure all purchased goods and services meet the company's quality standards and specifications.


Supplier Management

  • Develop, maintain, and strengthen relationships with accredited suppliers.
  • Conduct regular supplier performance evaluations covering quality, cost, responsiveness, and delivery performance.
  • Negotiate pricing, payment terms, and service agreements to achieve cost savings and operational efficiency.
  • Identify and qualify alternative suppliers to minimize supply chain risks.


Inventory Coordination

  • Work closely with Warehouse and Operations teams to monitor inventory levels.
  • Ensure timely replenishment of critical operational materials.
  • Assist in forecasting procurement requirements based on operational demand.
  • Help prevent stock shortages while avoiding unnecessary overstocking.


Cost Management

  • Compare supplier pricing and recommend the most cost-effective procurement options.
  • Identify cost-saving opportunities without compromising product quality or service standards.
  • Monitor procurement expenditures against approved budgets.


Documentation and Compliance

  • Maintain accurate and organized procurement records and documentation.
  • Ensure all purchasing activities comply with company policies, procedures, and internal controls.
  • Prepare procurement reports for management as required.
  • Coordinate with the Finance team for invoice reconciliation and payment processing.


Cross-Functional Collaboration

  • Partner with various departments to support uninterrupted business operations.
  • Provide procurement documentation during internal and external audits.
  • Support special purchasing initiatives and other operational procurement requirements.

Qualifications

  • Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, Industrial Engineering, Accountancy, or any related discipline.
  • At least 5 years of experience in procurement, purchasing, or supply chain management.
  • Experience within the service, facilities management, pest control, cleaning services, construction, or FMCG industries is highly preferred.
