Our respected client is seeking for a Senior Automation & AI Solutions Specialist. The Senior Automation & AI Solutions Specialist removes manual, repetitive work from our shared-services operation and turns business requests into reliable, auditable automations. The role supports practical operations, not theoretical AI research or a greenfield software product. The successful candidate will integrate existing systems, apply AI to specific operational problems, and deliver documented solutions that business users can trust, maintain, and audit

Key Responsibilities

  • Automate operational workflows. Design, build, test, and maintain automations that reduce manual effort in reporting, reconciliation, data movement, document handling, email/ticket triage, and routine approvals.
  • Build system integrations. Connect Microsoft 365, Excel/VBA-based processes, Odoo/ERP data, reporting tools, and other approved business systems through APIs, workflow platforms, or controlled scripts.
  • Apply AI to real business tasks. Use LLMs and AI tools for summarization, extraction, classification, drafting, exception detection, and structured reporting, with human review and validation where required.
  • Translate business requests into working solutions. Turn vague leadership or tower requests into a clear scope, workflow design, acceptance criteria, working build, test evidence, and handover documentation.
  • Protect auditability. Ensure outputs that affect numbers, decisions, customers, financial data, or employee records are traceable, testable, and not treated as black-box results.
  • Document and support automations. Create runbooks, workflow maps, support notes, failure-handling steps, and ownership documentation so automations can survive turnover.
  • Identify process waste and control gaps. Surface manual duplication, re-keying, recurring errors, weak checks, missing approvals, and reporting bottlenecks that can be improved through automation.
  • Support operational reporting. Help improve recurring reports, dashboards, exception logs, and operational review packs for fulfillment, allocation, e-commerce, wholesale, accounting, and management review.


Required Qualifications

  • At least 3 years of relevant experience in automation, systems integration, data/analytics engineering, RPA, business systems, or applied software development.
  • Demonstrated history of shipping automations, integrations, or internal tools that were adopted by business users in a live operating environment.
  • Working proficiency in Python for data handling, file processing, API calls, and automation support.
  • Hands-on experience with at least one workflow or RPA platform such as Microsoft Power Automate, n8n, Make, Zapier, UiPath, or equivalent.
  • Experience working with APIs, including REST/JSON concepts, authentication, error handling, and basic logging.
  • Practical experience using LLM tools or APIs for business tasks such as extraction, summarization, classification, drafting, or structured reporting.
  • Strong English communication skills, especially for writing clear briefs, documentation, runbooks, and user-facing instructions.
  • Ability to work with sensitive business data with discretion and proper access discipline.


Required Technical Skills:

  • Python for data transformation, automation scripts, API integration, and file handling.
  • Hands-on experience with at least one automation or workflow platform such as Power Automate, n8n, Make, Zapier, or similar.
  • API integration fundamentals: REST, JSON, authentication, pagination, retries, error handling, and logging.
  • Practical experience using AI/LLM tools or APIs to support business workflows such as summarization, extraction, triage, reporting, or drafting.
  • Ability to understand and automate spreadsheet-based business processes, including formulas, structured tables, exported reports, reconciliations, and manual adjustment files.
  • Basic SQL or comparable ability to query, join, filter, and validate operational data.
  • Git or equivalent version-control discipline for code and configuration changes.
  • Strong testing and validation discipline, especially for outputs involving numbers, reports, allocations, or reconciliations.

Required Business and Process Skills:

  • Can map a manual process, identify waste, define controls, and redesign the process before automating it.
  • Understands that automation must improve accuracy, speed, traceability, and accountability - not merely replace manual clicks.
  • Can validate outputs by tying totals, checking exceptions, documenting assumptions, and preserving an audit trail.
  • Can explain technical decisions in business language to non-technical stakeholders.
  • Can distinguish between a one-time analysis, a repeatable report, a controlled workflow, and production automation.
