Personal Assistant to Regional Director (Kuala Lumpur)

Executive recruitment company Monroe Consulting Group's Industrial Division is recruiting on behalf of our global client in the machinery industry for a Personal Assistant to support our client's Regional Director.

Job Summary:
This role involves managing the Regional Director's day-to-day work, coordinating appointments, and ensuring smooth operations across multiple tasks. The ideal candidate is a strong communicator, highly adaptable, and able to work in a dynamic, fast-paced environment.

Job Description:

  • Manage the Regional Director's calendar, schedule meetings, and coordinate appointments efficiently.
  • Prepare and organize documents, reports, presentations, and correspondence as needed.
  • Ensure daily agenda readiness and manage pre-read materials for the Regional Director.
  • Coordinate & support travel arrangements, including flights, accommodation, and itineraries; willing to travel when required.
  • Handle sensitive information with the utmost confidentiality, ensuring accurate record-keeping and easy retrieval.
  • Support project coordination across departments and follow up on action items.
  • Handle multiple tasks simultaneously, prioritizing effectively to meet deadlines.
  • Assist with ad-hoc administrative tasks and special projects as assigned.

Job Requirements:

  • Proven experience as a Personal Assistant, Executive Assistant, or Coordinator, preferably supporting senior management or client stakeholders.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proactive, resourceful, and solution-oriented mindset.
  • Discreet, dependable, and able to handle confidential matters.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Flexibility to travel occasionally, if required.
  • Ability to work independently and as part of a team.
